About the Role

The Office Manager and Executive Assistant plays a vital role in supporting the CEO/Executive Director and ensuring the smooth day-to-day operations of United Way of Enid & Northwest Oklahoma. This position provides high-level administrative, financial, and organizational support while helping advance the organization’s mission across Enid and Northwest Oklahoma.

 

Key Responsibilities

  • Provide direct administrative support to the CEO/Executive Director
  • Manage schedules, appointments, and daily briefings
  • Process payroll and manage timesheets
  • Handle accounts payable/receivable and maintain accurate financial records
  • Utilize QuickBooks and Donation Tracker for financial tracking and reporting
  • Reconcile bank and credit card accounts; assist with annual audits
  • Prepare, proofread, and distribute professional correspondence and reports
  • Record and distribute meeting minutes
  • Maintain organizational policies, procedures, and official records
  • Coordinate meeting logistics, including room setup and refreshments
  • Support board and committee operations, including maintaining records and compliance
  • Assist with planning and execution of annual events and campaigns
  • Maintain office supplies and support general office operations
  • Serve as backup support for Workplace Campaign efforts
  • Uphold strict confidentiality and ethical standards in all responsibilities

 

Qualifications

  • Associate’s degree with at least 2 years of related experience, or equivalent combination of education and experience (Bachelor’s preferred)
  • Strong administrative and organizational skills
  • Proficiency in Microsoft Office 365 (Word, Excel, Outlook)
  • Experience with QuickBooks required
  • Ability to manage multiple tasks and meet deadlines independently
  • Strong communication skills and ability to work with community leaders and volunteers
  • Nonprofit experience preferred
  • Bilingual and/or design experience (Canva, Photoshop, Illustrator) a plus
